Small businesses rarely need a large AI stack. Start with one assistant, one place for your business information, and one repeatable workflow that saves time every week.
Job 1: Draft and improve communication
Use an AI assistant for first drafts of customer replies, captions, product descriptions, supplier questions, and internal checklists. Give it your actual audience, offer, tone, and constraints. Never let it invent prices, availability, or policies.
Job 2: Organize what the business already knows
Keep approved product details, frequently asked questions, operating steps, and brand language in one source of truth. AI becomes more useful when the reference material is current and clearly labeled.
Job 3: Repeat one safe workflow
- Input: a real customer question or business task
- Context: the approved facts AI may use
- Draft: the output AI prepares
- Check: a person verifies facts, privacy, and tone
- Use: the owner or assigned staff makes the final decision
A practical first week
Pick one recurring task that takes at least 30 minutes. Run the workflow three times, note what went wrong, and improve the instructions. A small workflow that works is more valuable than ten new tools that nobody consistently uses.
Protect your customers
Do not paste passwords, payment details, identification documents, medical information, or private customer records into an AI tool unless your business has approved safeguards. When unsure, remove the personal information and work with a generic example.
